The job gets done. The details go on a sheet, or in a WhatsApp, or in someone's head. Later, somebody types it into the system. Something's unclear, so they ring to check. The customer's document goes out four days after the work was done, by which point they've rung twice asking where it is. Somewhere there's a copy nobody can find when it's actually needed.
The details get captured once, at the point the work happens, on a phone. They come out typed and checked against the rules. A branded document is produced and sits in a review queue. Somebody in your office looks at it, checks it, clicks send. The customer has it that afternoon, and a searchable copy is filed.
The person on the ground has their day changed by about eleven seconds. Everything downstream of them changes completely.

A recorded call or meeting gets turned into a plain-English summary: what was decided, what needs doing, who owns it, and by when. That goes straight into your task tool, a Slack message, or a drafted email, whichever you actually use, reviewed by a person before anything is sent or assigned.
